List document collection, preparation, review and completion steps as appropriate to your service. Each step needs an owner and a clear completion condition. Remove steps that no longer match how your team works.
Define which clients receive the service
Keep an explicit list of subscribed clients. Decide who adds or removes a client and who checks changes before a new cycle starts. An outdated client list can repeat outdated work.
Keep exceptions visible
Some clients will need additional documents or an adjusted review process. Record the exception against that client’s project rather than silently changing the shared template for everyone.
Review the first generated cycle
Check client coverage, owners and due dates before relying on the automation. Compare completed work with the original checklist and refine the next cycle.
