How to track staff work hours by client in a CA firm
Client-wise work logs show where your team’s time goes. Here is a simple process that does not depend on staff filling a spreadsheet at month end.
Decide what a work log must contain
Keep it to four fields: employee, client, task and hours. More fields lower the chance that busy staff complete it.
Log at the moment of work
Ask for the hours when the task is completed, not at month end. Natural-language updates in English, Hindi or Hinglish on WhatsApp make this quick for staff.
Review exceptions, not every entry
Look at days with no log, unusually high hours and entries against the wrong client. Treat flagged entries as prompts for a conversation.
Compare time with the work delivered
Put recorded hours beside completed tasks per client. Over several months this shows which services are under-priced or need a template change.
Keep the purpose clear for your team
Explain that logs are for planning and pricing work, not surveillance. Adoption follows when staff see it saves them status meetings.
